Intake & Adoption Coordinator-Full Time
Full Time: 5 days a week with Saturdays required. After 3 months of full time employment you are eligible for healthcare and 401k benefits. Shift is 9 am to 6 pm with one weekday and every Sunday off. Paid holidays.
Pay: $35,000-$39,000 annually with potential for raise depending on work performance and budget
Benefits: Benefits eligible after 90 days of full-time employment. Company pays 1/2 your healthcare for you and up to two dependents. Company matches 401k contributions up to 4%. Paid holidays. Vacation & Sick time accrual yearly.
Hours: 9-6pm shift with the Shelter Manager & Adoption/Intake Coordinator. Saturdays 8-5pm. Thursdays and Sundays off weekly.
Job Assignments: Intake/Adoption Coordinator
Intakes
- Scan for microchip
- Administer necessary vaccines
- Examine for Flea/Ticks/Injuries and communicate treatment accordingly
- Photograph from multiple angles
- Enter pet to online portal with approximate age, weight, etc
- Print window card and send to Kennel Tech with pet
- Add pet to RAC Facebook
o Ensure most recent medical history is printed and filed to send with adopter.
o Upon adoption, take happy tails pictures and post to RAC FB with permission from adopters.
o Update adopted/reclaimed pets on Shelter Boss.
Forms & Filing
o Ensure adequate number of forms are printed in filing cabinet for when needed.
o File liability and surgery waivers.
o File adoption/impound paperwork as needed.
o Create monthly file folder to archive.
Vetting (Wednesday)
o Enter vetting (vaccines, microchip, surgery notes, Heartworm test results, etc) into Shelter Boss
- Print and hang new window cards.
- Print and file updated medical records.
o Enter exam results from communication log into Shelter Track.
- Ensure all pets needing any medical care or vetting are added to the appropriate vet schedule.
Website & Promotional
o Facebook
- Adding daily pet of the day.
- Updating Facebook cover photo weekly to pet of the week.
- Posting promotions (low cost clinics, events, resources etc).
- Respond to all messages & necessary comments.
- Email
- Checking email regularly throughout the day, responding to every incoming email.
- Scheduling owner surrender appointments.
- Screening and approving/denying adoption applications as necessary.
- Checking emails on closed Holidays to be proactive in reuniting lost & found pets.
General
- Enter monthly heartworm preventative.
- Update all animal’s bios w/ temperament information weekly & print updates
- Keep a current list of Diamond Dogs and HW + dogs.
- Approve lost/found reports as soon as they are submitted
- Update photos from photographer- print/hang new window cards.
- Answering phones and fielding calls to animal control, offering resources, answering animal questions, etc.
- Completing Adoption Paperwork
- Communicate supply needs when items are low or damaged.
- Ensure all vetting and pictures are received in a timely manner to start the process.
- Schedule any needed vetting for Owner Surrender
